THE GREENS ASSOCIATION
ANNUAL MEETING
Monday, October 7, 2008
7:00 p.m.
The 2008 Annual Meeting convened at the home of DJ and Abbie Smith (1518).
Members Attending: List attached. 28 units were represented. A quorum was present.
Welcome and opening remarks were made by President, DJ Smith.
Jean Ogden moved that the minutes of the Annual Meeting of October 8, 2007 be approved as written. Nancy Nissen seconded. Motion carried.
Treasurer's Report
- The Treasurer's Report (attached) was then presented and reviewed.
- Current assets are $11,091.06 as of Sept. 30, 2008.
- Expenses for the year were $80,941.31
- Total income for the year was $56,100.00.
- The following topics were discussed.
- The September water bill of $2401 seems exceptionally high. Sally checked the bill for this month in past years and this is only a few dollars higher.
- We do have a minimum monthly charge even when using no water. We have four meters that are read monthly.
- The Irrigation category reflects what we pay Fleming for its work on our watering system. Fleming sets up the system in the spring and then turns it off and winterizes it each fall. The city requires a backflow check and Fleming does this as well.
- Did Greg's reimburse the association for the sprinkler heads their service damaged? Jerry Lentz will call to inquire about this, If residents see damages caused by lawn or snow removal, they should call Bill Nixon (Chair of Grounds Committee).
- Our insurance contract cost has been raised $500 this year. DJ stated that this is a modest increase. We have a $1000 deductible to help keep our insurance costs manageable. We don't want increased premiums that are caused by small claims, so these smaller costs are paid out of our general account.
- The Maintenance category includes painting, Justice Electric and siding repair.
- Residents were reminded that they can get automatic withdrawal from their account or automatic check writing from their bank to make monthly payment of Association fees more convenient.
JerryLentz moved that the Treasurer's report be approved. Dave Anderson seconded. Motion carried.
Grounds Committee Report

- Bill thanked Jerry Lentz and JW Ritchie for their services over the years. JW is retiring from supervising our irrigation system.
- Fleming has been contacted to shut down the irrigation system. They will have it done by October 11.
- Street lights. We currently have four that work and four that do not work. The last lamppost installed on the SE corner is crooked. This will be corrected. . A suggestion was made that we install solar lights which are more expensive. The underground wiring is not in metal conduit , so we have many problems with the system.
- Inside unit’s garage lights are now on from 7PM to 7AM. John Mescher suggested we replace the bulbs in these fixtures with high efficiency bulbs. He has agreed to work on this. He will submit a bill for the bulbs to Sally for reimbursement.
- Jerry Lentz apologized for resigning from the Board and the Grounds Committee. He had become frustrated when inundated with calls about the street lights at a time when electricians were more concerned with restoring services to flooded areas of Cedar Rapids.
- Can outside light fixtures be changed by homeowners? Requests for this kind of external change must be made to the Board before any external changes are made to units.
- Greg’s Lawn and Landscaping service. As soon as DJ gets a list of those who do not want their shrubs trimmed, he will call Greg's to arrange for the fall trimming. After this work is completed, the Board has decided to l employ Clean Cut Property Services, Inc. for our snow removal and lawn care this coming year. If homeowners have problems with any of these services, they should contact Bill Nixon, not Clean Cut directly. This service has guaranteed that they will rectify problems within 24 hours. We will be paying for these services ala carte.
- Residents were impressed by the work done on our courtyard by a husband and wife team. We intend to seek a bid from them for future shrub trimming work.
New Business
- To keep us better informed, Bill Nixon has offered to design a Greens Association, password protected web page. From this page, members could download minutes, treasurer's reports, and phone numbers of residents. Anyone who does not have access to the Internet would receive hard copies.
- The annual minutes will be distributed to all members of the Association shortly after the meeting.
President's Report
- DJ reported it is a pleasure to live here at the Greens. Many other condo associations are in financial difficulty. We are trying to build our treasury back up for future capital improvement projects and try not to resort to special assessments. DJ applauded our board members for their volunteer work for the Association.

Old Business
- The roofs at 1641 and 1645 will be repaired before the first snows to eliminate ice dam problems
- Siding repairs will also be done soon.
- Donna Rohrssen expressed continued frustration that the Association decided a year ago not to pay for repairs to her ceiling caused by water leaking in through the venting system. DJ reported that the Association's responsibility is to quickly get our roofers over to take care of problems reported by home owners. Inside repairs have always been the responsibility of the homeowners. Donna reported that she was not made aware of the date and time of the board meeting at which her situation was discussed. DJ responded that her complaint was in writing and did not contain a request to be appear and be heard at the Board meeting. However, we can do a better job of informing homeowners of the Board meetings as they are open to all residents. If you have a problem with your unit, let Jerry Lentz know. He will invite you to the next Board meeting to discuss the issue.
- Al Shettler, our State Farm Insurance agent, can give homeowners copies of our Association's insurance policy.
- Rosie Turnis reported a dead pine tree in her back yard. The Grounds Committee will deal with this problem.
