To: The Greens Board:
You all have received information from Bob Miller about the bids for the drainage issues in the commons area and the west side. We need Board approval
to proceed with the Cedar Prairie bid at Association expense and hopefully complete the project soon (especially with Fall fast approaching). Since you all
have the information and the diagrams, we can approve this via email unless a majority feels we need to have a called meeting. Bob and Abbie will check the
references. Please reply by using "Reply All" by this Thursday, August 15. If you feel that there should be a meeting, please note so on your reply.
VOTING RESULTS FOR CEDAR PRAIRIE GRADING
NAME, UNIT NO, YES or NO, COMMENTS
Sally Taylor, 1511, YES, I agree that we must proceed as quickly as possible. I vote "aye".
Bob Miller, 1556, YES, YES, YES AND YES TO ALL THREE. LET’S GET IT DONE.
Sally Orf, 1641, YES, I vote yes to proceeding with the bids from Cedar Prairie Grading for the west end and the commons according to the proposals from the
contractor. I believe this is an association expense and I believe we should proceed as soon as possible. Thank you to Bob Miller for all the work he did on this.
Karol Cooper, 1548, YES, I vote yes to proceed assuming the references are positive.
Martha Parks, 1638, YES, I vote to proceed with Cedar Prairie’s bid to complete the drainage issues in both the commons area and the west side at the associations
expense as soon as possible. It needs to be done.
Elaine Blick, 1645, YES, I believe Bob, Abby and Karol have worked diligently on this project; they deserve a Thank you from everyone, so I agree with their
recommendations. Yes, "get it done." We have money, what better way to spend it then taking the necessary steps to assure our property values
     stay "high and dry".
Rosie Turnis, 1632, YES, I vote yes. It is time to finally get it done. Thanks to the committee.
Abbie Smith, 1518, YES, I vote yes to hire Cedar Prairie Grading to do all of the work. Super nice, detailed bids. The Assn should pay for the $4K commons area work.
As per the bylaws,as I read them, the Bd MAY access the $6,975 bid to the affected homeowners, and Barnes' should pay the $1K for grading and drains that should
have been done in 2014 as promised to the Bd at that time as a condition of approving the addition. I'm in the minority opinion here, but I just wanted to register
my vote. No hard feelings folks.
Paul & Donna Zimmerman, 1536, YES, While I am not a voting member unless there is a tie, I thought I would at least let it be known that I am in favor of the project
and vote for it to be done.
Bill Nixon, 1526, YES, I vote YES to having Cedar Prairie do the complete job. Thanks to everyone involved in getting this information together so that we can vote
on it and get the work started.
Elaine Read, 1608, YES, As long as the references check out, I vote yes to proceed with the work by Cedar Prairie Grading at the association’s expense.
No meeting of the Board was held. All voting was done via email.
Based upon the voting results, Paul Zimmerman gave approval to start the project. Bob Miller will contract Cedar Prairie Grading to determine a start time. To prepare for the work to
start, the following will be done by Paul Zimmerman and must be completed prior to the Commons Area work starting:
    1. The location of the irrigation heads in the Commons Area must be identified with flags.
    2. While we do not have exact maps on the locations on the water lines, I will make copies on what I have.
        a. NOTE: Cedar Prairie will not be held responsible for any damage to the irrigation system.
    3. Greg’s Lawn Care needs to be notified about the grading work and what areas they can and cannot mow.
Breaking ground on the project began 8/21/2019.
Completed by Paul Zimmerman
